Essential Checklist for dealing with Unexpected, Last-Minute Changes in Wedding Plans

In a dream world, wedding planning would be a smooth sailing, stress free endeavor, but in reality, things change and the unexpected can occur. The best thing you can do however is to be prepared for the worst and be one step ahead in case anything does change at the last minute. Below is a checklist that should give you a guiding hand should anything come up!

Don’t panic! - Though it may seem like the end of the world if a group suddenly can’t make it or if your cotton candy machine supplier is double booked but take a deep breath and follow these steps to ensure all bases are covered.
Let your venue know - Your venue(s) are crucial to making your day so special and they may be able to assist you with any last-minute changes that come up, such as guest numbers, decor changes, updated needs (for example if a guest breaks their leg and needs wheelchair access). Venues will also have a knowledge of the local area that could come in handy if something is needed at the very last minute. I once had to uber some ties and pocket squares for the Groom and Groomsmen from a local suit shop and sprint them down the aisle! Talk about last minute haha!
Let your suppliers know - Particularly if there is a change in numbers it is crucial to let all the relevant suppliers know and even sometimes the not-so-relevant suppliers know the changes. For example, a change in numbers may not seem like super important information for a photographer, however if it is a significant change, it may impact their shot list (if suddenly your work friends are coming to the reception, you may want a formal picture with them) and it may impact the amount of hours they have to work that day (in order to capture everyone enough).
Inform your wedding party - Your Bridesmaids and Groomsmen should know their roles at this point and so lean on them! They’re there to help out, so let them know of any issues that have arisen and they may be able to help out. You never know whose uncle might have a PA system you can use or who has a great florist friend on call!
Change any written plans - Make sure to change any written instructions you have, especially that will be used on a day. You don’t want any miscommunications to come up, just because you forgot to update your instructions. This also goes for any stationary that you have for the day too (menus, signs, timelines etc.).
Be Open to Change - Finally, if there is a major change, perhaps it was just meant to be. Try and find the opportunity in the change and whatever silver lining there might be. In years to come you won’t even remember it, or if you do, it’ll just be a fun wedding anecdote.
